LabArchives - the Electronic Research Notebook Service

A guide on using LabArchives and resources for working with the service

Notebook Ownership

The person who creates a notebook is automatically assigned the Owner role.

  • We recommend assigning ownership of all notebooks to the faculty member or principal investigator (PI) of the research project to maintain access when students, postdocs and staff ultimately leave the university.
  • The notebook Administrator role can be assigned to other research staff, postdocs and students, allowing them all the privileges of ownership other than transferring notebook ownership.

Sharing Content

  • You can share with anyone who has a LabArchives account (even outside of Northwestern)
  • You can share whole notebooks, pages or single entries
  • You can assign roles to each person you share with and grant them levels of access and set the time limit for access

Guidance on roles

  • Assign ownership to PIs or faculty project leads
  • Assign Administrator roles to lab managers, data managers, or program managers so they can manage content on behalf of the PI or faculty member
  • Assign edit permissions to graduate students and post docs for all projects they are working on, but give them read-only access to any lab policies and standards of practice.
  • Assign read-only permissions to external collaborators, and consider limiting the amount of time they can access the content
