Managing collaborators

Inviting others to the review

You can invite unlimited colleagues to join the review in Rayyan. To do so:

  1. Navigate to the Rayyan home screen.
  2. Click on the review title.
  3. Click "Invite"
  4. Select the type of status you are granting the invitees from the drop-down menu:
    • Collaborator: Has all permissions except deleting the review, inviting others, or changing the blind setting.
    • Viewer: Can see all records in the review, but cannot add, delete, label, or include/exclude
    • Translator: Has the same permissions as a viewer, with the added functionality of translating the article abstracts into other languages. However, these functionalities are not active at this moment.
  5. Enter emails in the designated field. Separate each email address with a comma and a space.
  6. Enter a reason/message in the designated field.
  7. Click "Invite." The invitees will receive an email invitation with a link to access the review. They will need to log in or create an account in Rayyan. 

Editing team member permissions

To change the type of access (viewer/translator/collaborator) granted to a member of your team, simply send a new invitation to the same email address with the new access type selected.

Removing team members

To remove someone from the review, click on the review title from your Rayyan home screen. Next to the team member's name, click "Revoke," then "OK."

Blinding

Turning blinding on and off

Only the review creator/owner can change the blind setting (Blind OFF/ON). Note that each time the blind setting is changed all collaborators will receive an email notifying them that the 'Blind mode has changed for review: X'.

When blinding is ON....

All collaborators can see:

  • Reasons: All collaborators have the same selection of reasons available in the reasons menu. They can not, however, see which reasons have been assigned to which records by other collaborators.
  • Keywords: All reviewers can view, delete, and add keywords. Any changes made by one collaborator are visible to all.
  • The review screening summary (accessible by clicking the review title from Rayyan's homepage): This shows how much time each team member has spent in Rayyan and the percentage of records marked as included, excluded, and undecided.

Other collaborators can not see:

  • Your decision for each record (include/exclude/maybe)
  • Your labels: Once blinding is turned off, your team members will be able to see your labels and to which records you have assigned them.
When blinding is OFF....

All team members can see the decisions, labels, and reasons assigned by their collaborators to the left of each record title, as shown in the image below.
