Prism is an institutional repository for the research and scholarly output of Feinberg School of Medicine at Northwestern University

Overview of Metadata in Prism

Prism has only four required fields during upload:

  1. Resource Type: Pre-defined categories to describe the type of content being uploaded, such as "journal article" or "conference poster". See the full list of options below. 
  2. Title: Primary title of the content being uploaded. 
  3. Publication Date: Date when the content being uploaded was or will be made publicly available. Must use this format: YYYY-MM-DD, YYYY-MM, or YYYY. For intervals use DATE/DATE, e.g. 1939/1945.
  4. Creator Name: Name of the person or organization responsible for the content being uploaded. Use Family name for last name and any suffixes (such as Jr. or II) and Given name for first name and middle initials. 

We recommend some additional fields: 

  • Creator Name Identifier: An ORCID iD uniquely identifies authors and contributors. Look up ORCID iDs:  https://orcid.org/
  • Creator Role: Assign a role to each creator in order to provide transparency in contributions to scholarly published work, and to enable improved systems of attribution, credit, and accountability. See the full list of options below. 
  • Description: Information about the content being uploaded.
  • Licenses: A license can tell the person who finds your record what you will allow them to do with the content. Use the Creative Commons License Chooser for assistance in choosing a license: https://creativecommons.org/choose/
  • Related Works: Provide links to show relationships from the record being uploaded with other records, websites, or objects.

  Version The version number of the resource. This field allows for free text. If no text is provided, Prism will assign version "v1" and so on.  v1
  Publisher The name of the entity that holds, archives, publishes, prints, distributes, releases, issues, or produces the resource. Conceptulization role Ideas; formulation or evolution of overarching research goals and aims.
Data collector role Person/institution responsible for finding, gathering/collecting data under the guidelines of the author(s) or Principal Investigator (PI)
Data curator role Person tasked with reviewing, enhancing, cleaning, or standardizing metadata and the associated data submited for storage, use and maintenance wihtin a data centre or repository
Data manager role Person (or organisation with a staff of data managers, such as a data centre) responsible for maintaining the finished resource.
Editor role A person who oversees the details related to the publication format of the resource.
Education and training role A role in which a person participates in the transfer of knowledge and skills, through teaching, development of educational materials or curriculum, through program development or other means.
Formal analysis role Application of statistical, mathematical, computational, or other formal techniques to analyze or synthesize study data.
Hosting institution role Typically, the organisation allowing the resource to be available on the internet through the provision of its hardware/software/operating support.
Librarian role A person who deals with provision and maintenance of information in many formats, including: books; electronic resources; magazines; newspapers; audio and video recordings; maps; manuscripts; photographs and other graphic material; bibliographic databases; and web-based and digital resources. A librarian may also provide other information services, including: information literacy instruction; computer provision and training; coordination with community groups to host public programs; assistive technology for people with disabilities; and assistance locating community resources. Librarians often work in a library, but can also work in other physical settings or virtual environments.
Marketing and communications role Coordination of research dissemination through popular media and the press, as well as community outreach and liaising of project directly to the community.
Methodology role Development or design of methodology; creation of models.

Producer role Typically a person or organisation responsible for the artistry and form of a media product.
Project manager role Person officially designated as manager of a project. Project may consist of one or many project teams and sub‐teams.
Research group role Typically refers to a group of individuals with a lab, department, or division; the group has a particular, defined focus of activity.
Researcher role A person involved in analyzing data or the results of an experiment or formal study. May indicate an intern or assistant to one of the authors who helped with research but who was not so “key” as to be listed as an author.
Resources role Provision of study materials, reagents, materials, patients, laboratory samples, animals, instrumentation, computing resources, or other analysis tools.
Rights holder role Person or institution owning or managing property rights, including intellectual property rights over the resource.
Software role Programming, software development; designing computer programs; implementation of the computer code and supporting algorithms; testing of existing code components.
Supervisor role Oversight and leadership responsibility for the research activity planning and execution, including mentorship external to the core team.
Visualization role Preparation, creation and/or presentation of the published work, specifically visualization/data presentation.
Writing role Preparation, creation and/or presentation of the published work, specifically writing the initial draft (including substantive translation).

Date: Type Definition
Accepted The date that the publisher accepted the resource into their system.
Available The date the resource is made publicly available. May be a range.
Collected The specific, documented date at which the resource receives a copyrighted status, if applicable
Copyrighted The date or date range in which the resource content was collected
Created "The date the resource itself was put together; this could refer to a timeframe in ancient history, a date range, or a single date for a final component, e.g., the finalised file with all the data.
Issued The date that the resource is published or distributed, e.g., to a data centre
Other
Submitted The date the creator submits the resource to the publisher. This could be different from Accepted if the publisher then applies a selection process
Updated The date of the last update to the resource, when the resource is being added to. May be a range.
Valid "The date or date range during which the dataset or resource is accurate.
Withdrawn The date the resource is removed
Publication date The year when the item was or will be made publicly available. If the DOI is being used to identify a digitised version of an original item, the recommended approach is to supply the PublicationYear for the digital version and not the original object.

Multimedia Software Computer software, or generally just software, is any set of machine-readable instructions (most often in the form of a computer program) that conform to a given syntax (sometimes referred to as a language) that is interpretable by a given processor and that directs a computer's processor to perform specific operations.
Multimedia Sound (Recording) A resource primarily intended to be heard, usually of a speech, song, performance, etc.

Who is responsible for entering metadata?

Generally, it is the responsibility of the depositor to enter metadata. However, we can provide support for entering metadata and uploading items. See our guide on Metadata in Prism or Edit Metadata of RecordPlease contact prism@northwestern.edu with any questions.


How do I know which keywords to use?

Keywords are used to help searchers find your content in Prism. Consider what terms you might use to search for your content. You must have at least one keyword associated with your item in Prism. You can edit the keyword field after upload, so if you think of more keywords you can add them at a later date. See our guide on Metadata in Prism or Edit Metadata of Record.


How do I acknowledge people who helped me in writing or preparing my scholarly work?

You can use the "Additional Description" field with the type "Acknowledgements" to enter any acknowledgments. Or you can use the "Contributor" metadata fields to highlight any person(s) or organization(s) who contributed to the work.  See our guide on Metadata in Prism or Edit Metadata of Record


My article is available in PubMed Central (PMC) or on a publisher's website. How do I provide a link to those websites from the article's Prism record?

In order to provide a link to PMC or the publisher’s website (or other location), use the metadata fields under the "Related works" section. These fields are available when you are uploading or editing a record.
